VividLayer Technology Partners LLC (“VividLayer,” “we,” “us,” or “our”) operates the website located at https://vividlayertech.com (the “Site”). This Privacy Policy explains what information we collect when you visit the Site or submit the discovery-call request form, how we use it, who we share it with, and the choices you have.

By using the Site, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Site or submit the form.

1. Information We Collect

Information you give us directly

When you submit a discovery-call / booking request through the form on the Site, we collect: full name; email address; company name and your job title; company size (number of employees); the services you’re interested in; whether you currently use Microsoft 365 Business and/or automation software; and whatever you tell us in the “how we can help” field.

We also automatically record the IP address the form was submitted from and the date/time of submission, primarily to help detect spam and abusive submissions.

We do not currently ask visitors to create an account, and the Site does not process payments or store payment information.

Information collected automatically

Like most websites, the Site automatically collects certain technical information when you visit, such as your IP address, browser type, device type, pages viewed, and how you arrived at the Site. We collect this through Google Analytics (see Section 3).

2. How We Use Your Information

We use the information described above to: respond to discovery-call requests and follow up about our services; route new submissions to our sales team by email, and — if we’ve configured it — into our internal systems (e.g. a Microsoft Power Automate flow that logs the request in SharePoint) so we can track and respond to it; understand how visitors use the Site, so we can improve it (via aggregated analytics); detect and prevent spam, fraud, or abuse of the form; and comply with legal obligations.

We do not sell your personal information, and we do not use the information you submit through the form for advertising or marketing to third parties.

3. Third-Party Services We Use

We rely on a small number of third-party services to run the Site. Each of them may collect or process some data on their own terms:

Google Analytics — We use Google Analytics (GA4) to understand aggregate traffic and usage patterns (e.g. which pages are visited, how visitors found the Site). Google Analytics uses cookies and similar technologies and may collect your IP address and browsing behavior on the Site. See Google’s Privacy Policy (policies.google.com/privacy) and how Google uses data from sites that use its services (policies.google.com/technologies/partner-sites).

Google Fonts — The Site loads typefaces from Google Fonts (fonts.googleapis.com), which may cause your browser to connect to Google’s servers to download font files.

Google reCAPTCHA — If enabled, the booking form is protected by Google reCAPTCHA to reduce spam submissions. reCAPTCHA may collect technical and interaction data under Google’s Privacy Policy and Terms of Service.

Microsoft Power Automate / SharePoint — If configured, form submissions are also forwarded to an internal Microsoft Power Automate flow so they can be logged in our own SharePoint environment, for our internal use only.

We do not control these third parties’ own data practices and encourage you to review their respective privacy policies.

4. Cookies

The Site uses cookies set by Google Analytics to distinguish visitors and measure usage. If reCAPTCHA is active, Google also sets cookies for that purpose. We do not currently use cookies of our own for tracking or advertising. You can control or disable cookies through your browser settings; doing so may affect how some parts of the Site (like analytics) function, though the Site itself will continue to work normally.

5. How We Share Information

We do not sell, rent, or trade your personal information. We share information only: with service providers who help us operate the Site or process form submissions (e.g. our email provider, Google, and, if configured, Microsoft Power Automate/SharePoint), solely to provide those services to us; if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of VividLayer, our users, or others; or in connection with a merger, acquisition, or sale of assets, in which case we’ll make reasonable efforts to notify you.

6. Data Retention

We retain booking form submissions for as long as reasonably necessary to respond to your inquiry and maintain our business records, after which we may delete or anonymize them. Aggregated analytics data is retained according to Google Analytics’ standard retention settings.

7. Your Rights and Choices

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, or to object to or restrict certain processing.

If you are in the European Economic Area or UK (GDPR): you have the rights described above, and you may lodge a complaint with your local data protection authority.

If you are a California resident (CCPA/CPRA): you have the right to know what personal information we collect, request deletion, and not be discriminated against for exercising these rights. As noted above, we do not sell personal information.

To exercise any of these rights, contact us using the details in Section 10 and we’ll respond as required by applicable law.

8. Children’s Privacy

The Site is intended for business audiences and is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

9. Security

We take reasonable technical and organizational measures to protect the information we collect (for example, the booking form is protected against spam and automated abuse). However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
